Role Description: Reporting to the Strategic Marketing Project Director, the Part-time Project Manager will lead the planning, coordination, and execution of marketing-driven events, campaigns, activations, and experiences. This role requires a highly organized, solutions-oriented professional who can juggle multiple stakeholders, budgets, and timelines while ensuring seamless event execution across mid- and large-scale events and campaigns. You’ll work closely with marketing, creative, and operations teams to bring engaging, mission-driven events, campaigns, and experiences to life.
 

The Details:

  • This is a part-time contract position with an expected duration of approximately nine months
  • This position expects 3 days a week. 
  • Salary: $40.00 per hour. 
  • 5+ years of experience in project management, with a focus on mid- to large-scale events.
  • Travel within the U.S. is required 30-40% of the time for key events.
  • Evening and weekend work may be required to support specific events.
  • LA or NYC based is preferred.
 

Responsibilities:

  • Stakeholder Coordination: Aligns internal teams, vendors, and production partners to ensure seamless collaboration.
  • Timeline & Logistics: Manages event timelines, production schedules, and all logistical elements for flawless execution.
  • Vendor & Partner Management: Sources, negotiates, and oversees venues, AV crews, and production teams.
  • Cross-Team Alignment: Ensures event strategy integrates with marketing, creative, and operations goals.
  • Planning & Execution: Develops scopes, project plans, resource allocation, and delivery timelines.
  • Budget Oversight: Tracks expenses, optimizes resources, and keeps events within budget.
  • Problem-Solving: Anticipates challenges and implements proactive solutions.
  • Event Leadership: Oversees event concepting, planning, and execution to ensure success.
  • Creative & Digital Production: Leads development of assets and collateral to support campaigns, event branding and engagement.
  • On-Site Execution: Directs event operations, troubleshooting issues and leading teams on the ground.
  • Post-Event Analysis: Evaluates performance, gathers feedback, and drives continuous improvement.
 

Key Skills:

  • Proven ability to manage complex timelines, budgets, and stakeholders.
  • Experience with creative and digital production and working cross functionally with various teams (marketing, creative, operations, new business, etc) to deliver campaign assets. 
  • Self-starter who is comfortable with shifting priorities and ambiguity.
  • Strong experience with event production, logistics, and vendor management.
  • Familiarity with marketing activations and campaigns, community events, and fundraising galas.
  • Excellent interpersonal and written communication skills. 
  • Ability to think on your feet and resolve issues effectively. 
  • Familiarity with event production equipment and software. 
  • Ability to motivate and lead a team of production members, internal stakeholders and vendors. 
  • Knowledge of how to use Asana or similar project management tool required.
  • Understanding of the production lifecycle from conception to execution for digital and creative marketing campaigns, events/activations, and content & post-production.
 

Nice to have: 

  • Knowledge of diabetes in some capacity. 
  • Agency background preferred.
  • Experience working with influencers and celebrities. 
 

Commitment & Compensation:

  • EOY 2025.
  • Part-time role (3 days per week).
  • Remote-first organization, with travel for on-site event management.
  • Pay: $40.00 per hour.
